To move your ACT! Contact data to Microsoft Outlook, you must export the desired ACT! contacts as a text delimited (.CSV) file, and then import this information to Microsoft Outlook.
Exporting From ACT! Follow the steps below to export ACT! contacts as a Text Delimited (.CSV) file:
If you do not wish to move all of your ACT! contacts to Outlook, create the lookup of contact records that you would like to move to Outlook.
Once your lookup is established or if you wish to move all of your contact records, click the File menu, and then click Export. The Export Wizard launches.
Note: If the Welcome to the Export Wizard panel appears, enable the Check to hide in the future option (if desired), and then click Next. The Specify Destination dialog box appears:
Click into the What type of file do you want to export to? field, and then click Text Delimited from the list.
Click the Browse button at the Filename and location field. An Open dialog box appears.
Browse to your Windows Desktop, and enter a name for this text delimited file in the File name field.
Click the Files of Type drop-down arrow, and then click Comma Seperated Values (*.CSV) from the list, and then click Open. The Specify Destination dialog box re-appears with the Filename and location field now populated with the name and destination of your .CSV file.
Click Next. The Specify record type(s) dialog box appears:
Ensure that the Contact Records option is enabled in the What kind of records would you like to export? section, and that the appropriate option is enabled in the Which records do you want to export? section, and then click Next. The Specify export options dialog box appears:
Ensure that Comma is enabled in the Select field separator section, and the Yes, export field names option is enabled, and then click Next. The Contact Map dialog box appears:
Remove or re-order fields as desired, and then click Next. The Completing Export Wizard message appears:
Hint: If you change the field mapping and anticipate performing this export again, you can click the Save Map button to preserve the mapping work. If this is done, the next time you arrive at the Contact Map, you can click the Load Map button to call up the desired field map.
Click Back to change export settings (if desired) or click Finish to complete the process. A progress indicator appears as your ACT! contacts are exported.
Importing into Outlook Follow the steps below to Import the Text Delimited (.CSV) file into Microsoft Outlook:
Note: The following process is based on Outlook 2003, your version may differ.
Click the OutlookFile menu, and then click Import and Export. The Import and Export Wizard launches.
In the Choose an action to perform box, click the Import from another program or file option, and then click Next. The Import a File - Select a file type to import from dialog box appears:
Click the Comma Separated Values option, and then click Next. The Import a File - File to import dialog box appears:
Click the Browse button. A Browse dialog box appears. Navigate to your Windows Desktop, select the file you created in the export procedure, and then click OK. The Import a File - File to import, dialog box re-appears with the File to import field now populated.
Ensure that the appropriate option is enabled in the Options section, and then click Next. The Import a File - Select Destination Folder dialog box appears:
Click the desired location for your Outlook contacts, and then click Next. The Import a File - The following actions will be performed dialog box appears:
Enable the check box to the left of the Import " item. The Map Custom Fields dialog box appears:
Drag fields from the (left) From side to the appropriate location on the (right) To side, until all desired fields are mapped.
Hint: The ID/Status field in ACT! is normally mapped to the Categories field in Outlook.
Once all fields are mapped, click OK. The Import a File - The following actions will be performed dialog box re-appears.
Click Finish. A progress indicator appears as the text file is imported into your Outlook database.
