How To Fax in ACT!
 Question
 You would like to learn about the fax function in the ACT! software.
 Answer
 The fax function in ACT! 2005 or later is provided through ACT! Add-ons. Click the ACT! Add-on Solutions  link for information regarding faxing Add-ons. Once your Fax Add-On is installed, the sections below will assist you with setup and use:

Setting up your faxing software:

    Follow the steps below to set up your Fax software:
    1. Click the Tools menu, and then click Preferences. The Preferences dialog box appears:



    2. Under the Communication tab, in the Default application section, your fax add-on software will appear in the Fax software field.
    3. If the Fax software list displays None, your fax add-on is not installed.
    4. To review or configure your fax settings, click Fax Options.
    5. ACT! displays the options dialog box for the fax software you have installed. For more information about the fax features and options available to you, see your Add-On or fax software documentation.
    6. After adjusting your fax settings, close the fax options dialog box.
    7. Click OK to save and close the Preferences dialog box.

    Your fax software may display additional dialog boxes to complete the fax process. For more information, refer to your fax software documentation.

    Note: If you are using WinFax through the FaxAdmin Add-on, you must have WinFax Pro version 10.03 (or higher) installed.

Creating and sending a cover page:
    ACT! helps you create a cover page quickly by retrieving the recipient name, fax, and phone information from the contact record. If your fax software has a cover page option, turn it off to prevent sending an additional cover page. For more information, see your fax software documentation.
    To create and fax a cover page
    1. From a Contact, Company or Group record, click the Write menu, and then click Fax Cover Page. Your default word processor launches with the current contact information merged into the fax cover format.
    2. Modify the cover page heading as desired, and then type any additional content.
    3. Click the File menu, and then click Print. The Print dialog box appears.
    4. In the printer Name field, click the name of your fax software, and then click OK.

      Note: Your fax software may or may not display additional dialog boxes to complete the fax process. For further information, refer to your fax software documentation.
    5. After sending the fax, ACT! displays the Create History dialog box.



    6. To note the fax on the History tab of your contact record, click Yes, record history.
    7. Enter descriptive text into the Regarding field (if desired).
    8. If you wish to link a copy of the fax document to the contact history, enable the Attach document to history option.
    9. Click OK to complete the process.
Sending a fax to multiple contacts:
    Follow the steps below to send a fax mail merge
    1. (Optional) Create a lookup of the contacts that you wish to receive the mail merge fax. For information on creating Lookups in ACT! refer to the following Knowledge Base Answer:

    2. Click the Write menu, and then click Mail Merge. The Mail Merge wizard appears.
    3. Click Next at the Introduction panel and enable the Check to hide in future option (if desired). The Select Output dialog box appears.



    4. Enable the Fax option, and then click Next.The Select Template dialog box appears.



    5. Click the Browse button. An Open dialog box appears.
    6. Navigate to (if necessary) and then Open the template you wish to use for the mail merge to fax, and then click Next. The Select Contact dialog box appears.



    7. Enable the appropriate contact option, and then click Next. The Set Fax Options dialog box appears.



    8. Enter a subject and Regarding text for your fax, enable the appropriate option(s) in the Record history section, and then click Next. The Set Options for Missing Fax Numbers dialog box appears.



    9. Enable the appropriate option, and then click Next. The Completing the ACT! Mail Merge Wizard dialog box appears.


    10. When you complete the Mail Merge Wizard, ACT! sends your document to the fax.

Your fax software may display additional dialog boxes to complete the fax process. For more information, refer to your fax software documentation.

Faxing a document to a single contact:
You are able to fax any Word processing documents created in ACT! to any of the contacts in your database. You are also able to fax Microsoft Word documents from the Documents tab of a contact, company, or group record. Follow the steps below:

To fax an ACT! Word Processor document to a single contact
    1. Open the ACT! Word Processor document you wish to fax.
    2. Click the Send Fax button .
To fax a Microsoft Word document to one contact
    1. Open the MS Word document you wish to fax.
    2. Click the File menu, and then click Print.
    3. In the printer Name field, select the name of your fax software, and then click OK.
To fax a document from the Documents tab to one contact
    1. From the ACT! Document tab, open the document you wish to fax.
    2. Click the File menu, and then click Print.
    3. In the printer Name field, select the name of your fax software, and then click OK.

Your fax software may display additional dialog boxes to complete the fax process. For more information, refer to your fax software documentation.

Faxing calendar views, address books, and reports:
You can fax a daily, weekly, or monthly calendar view of your scheduled activities, events, and tasks. You can also fax the contents of your address book and ACT! reports.

To fax a calendar view, address book, or report

  1. Click the File menu, click Print.
  2. Click the Printout Type list, select Day Calendar, Week Calendar, Month Calendar, or Address Book.
  3. Click the Paper Type list, select the type of paper you want to use.
  4. To preview the fax before sending, select Enable Preview.
  5. (Optional, calendars and address books only) To set calendar or address book options for the fax, click Options.
    The Options dialog box appears. For field definitions, press F1.
  6. (Optional, calendars only) To set calendar activity filters, in the Options dialog box, click Filters.
    The Filter Calendar Printout dialog box appears. For field definitions, press F1.
  7. Click Printer, and then in the printer Name box, select the name of your fax software.
  8. Click OK to close the printer dialog box, and then click OK to close the Page Setup dialog box.
  9. Click Print. The calendar view, address book, or report is sent to your fax software.
