Outlook Rules: Increasing Productivity by Automating Your Dayfficeffice" />

Like most users of ACT! I spend a fair amount of my day reading and responding to e-mails from my many contacts. While “Quick Attach” and the “Attach to ACT! Contacts” buttons on Microsoft Outlook are great at allowing me to get emails recorded in ACT!, sometimes I want all mail coming from certain sources to automatically get recorded in ACT!. In ACT! 2009 (11.0), there’s a great new feature which allows me to create a rule in Outlook which will automatically create history records in ACT! for new e-mails from those contacts.

Within Outlook rules I now have the ability to select “ACT! - Auto Attach E-Mail to ACT! Contact History” as a custom action to any Outlook rule. This allows me to setup my own rules about which email communications get recorded in ACT! and ensures that ACT! stays up to date with all important e-mail interactions I have with contacts. The beauty is that I don’t have to select the e-mails and take any action on them, they just automatically get recorded!

The custom action to record history to ACT! can be used in a variety of scenarios including recording outbound communications as in the below example.

The Auto Attach action has several options that you can setup for each rule including making history being recorded for certain rules private in ACT!.
