ACT! is the tool used by sales and marketing professionals, customer service teams and management to build and maintain relationships with customers, prospects and other business contacts. It can help improve customer service, increase sales, conduct marketing campaigns, provide opportunity forecasting and calendar management.  fficeffice" />

Most companies today face tighter margins, fierce competition, and highly selective customers. That's why it is critical that sales professionals and managers recognize the importance of easily monitoring each sales person’s schedule. One of the primary reasons ACT! includes interactive graphical Dashboards is to monitor both individual and team activities. ACT! ships with three predefined Dashboards: Default, Activity Summary, and Opportunity Summary. You can easily choose your own Dashboard and set the filters to meet your individual needs using the controls on the upper right hand of the screen (figure 1). 

Each Dashboard can have up to six adjustable panels; three relating to sales opportunities and three for activity information. The three default Dashboard components, or “views”, pertaining to Activities are:

1.     Schedule At-a-Glance

2.     Activities by User

3.     Activity List

 

Dashboards can be customized or created by ACT! users with Administrator or Manager security roles users with an easy-to-use customization wizard. Users can easily evaluate their day and identify which tasks need to be completed, prioritized as they prefer. The ACT! by Sage Dashboard allows users to track individual activities and with ACT! Premium and ACT! Premium for Web, team members can track their own activities, while managers can also track group activities.

In the Dashboard below (see figure 2), the ACT! user is a manager who is viewing their personal daily schedule in the upper left panel, the number of scheduled activities for their team for month of August in the upper right panel in a Pie Chart view, and a list of activities for the team in the lower panel. 

To print the Dashboard, simply click the File menu and select Quick Print Current Window. You can copy any Dashboard component or the entire ACT! Dashboard to any application, including Microsoft Office, for use in e-mails, reports, presentations, and more with a simple right-click over the opportunity panel and choose Copy to Clipboard.  Additional Dashboard functions can be accessed by right mouse clicking over a panel. If you right-click[1] over the Activity List panel, you can add and/or remove columns from the view.  In figure 2, the Schedule For column was added so the manager can identify who on their team is handling each activity. 

Change the dashboard filters and compare this month to the previous few months. This can be a great way to monitor progress of your team without interrupting their sales momentum.

Below is the top panel from the custom Dashboard used with my own ACT! database (figure 3). I am a manager and have the need to see the how many activities each of my 4 key personnel have at any given time. ACT! provides the flexibility to select the Bar Graph display panel instead of the Pie Chart displayed in figure 2. Using the Dashboard in this way, I can easily track who on my team is most likely available at a glance.

Graphical Dashboards in ACT! are powerful tools for both new and long time ACT! users. Anyone using the ACT! calendar features will benefit from the at-a-glance overview of key activities and once personalized to fit your needs, you’ll ask yourself how you lived so long without them. I know I have.

With the ACT! 2009 real-time Dashboard, you can spend your time analyzing and acting on crucial data instead of gathering it. As a result, you can optimally monitor and improve your business decisions and ultimately, increase your profitability.
