Outlook - Quick Tricks

1. Drag a file and drop it into the Inbox in Outlook – it will start a new e-mail automatically
2. You can highlight multiple items in the Inbox and attach all of them at the same time to a contact in ACT!

Outlook To: Type-ahead

1. When you set up ACT! as an address book in Outlook, you want to be able to use the type-ahead in the TO: box to find names in your ACT! database.  However, there are names already in the type-ahead cache from the normal Outlook address book. 
--Or you may have typed an e-mail wrong and now the incorrectly spelled e-mail shows up when you start typing.
2. The solution is to clear the type-ahead (or auto complete) cache.
3. Here’s how you do that.
--There are two ways to clear the autocomplete cache.
       1) Delete individual names as they come up just by selecting the name using the arrow keys then pressing Del. 
      2) Delete the entire autocomplete cache
Find the NK2 file for the user profile – typically found in C:\Documents and Settings\username\Application Data\Microsoft\Outlook

Outlook Keyboard Shortcuts
1. Ctrl-Shift-O: Switch to out-box.
2. Ctrl-Enter: Send current message.
3. Ctrl-R: Reply to a message.
4. Ctrl-Shift-R: Reply All to a message.
5. Ctrl-Shift-A: Create a new appointment.
6. Ctrl-Shift-M: Create a new message.
7. Ctrl-1: Switch to Mail.
8. Ctrl-2: Switch to Calendar.
9. Ctrl-3: Switch to Contacts.
10.Ctrl-4: Switch to Tasks.
11.Alt-F1: Toggle the Left Pane on and off

Outlook – Sorting more than one column in Inbox

1. To sort a single column in Outlook click on the column head
2. To sort multiple columns do the following:
--Sort the first column, for example, From by clicking on the column head.
--Next, hold the Shift key down and click on a second heading, such as Received.
        -Your messages will be sorted primarily by sender, and all the messages from each sender will be ordered chronologically. You can even add additional columns to sort by.
        -Outlook will sort your messages by each additional criterion within the earlier criteria to give you a multicolumn sort

Outlook tip – moving computers

1. You can copy your Outlook Bar or Navigation Pane shortcuts to another computer (or another profile) by copying the *.xml for your profile. You will need to rename it to match the profile name it's to be associated with.
--Note that the file paths will need to match.
2. The files are located in C:\Documents and Settings\username\Application Data\Microsoft\Outlook.
--The file can also be found by typing the following statement in the in the Address bar of Windows Explorer.
“%USERPROFILE%\Application Data\Microsoft\Outlook”

Outlook Trouble-Shooting

1.There are several things you can do to trouble shoot problems with Outlook and ACT! Here are a few
--If Outlook crashes, look at the report's details before sending it. The first few lines will identify the failing file that caused the exception.  Use Windows search to find the file and then right click on the file to look at properties.  It will show which application installed that file.  It may be an add-in that can be disabled.
2. Create a new profile before uninstalling Outlook.
3. Start Outlook using the /safe switch – if it works then Outlook does not need to be reinstalled
--Close Outlook and verify it's closed in Task Manager. At the Start menu, click Run and type the following command: Outlook.exe /safe

More Outlook Troubleshooting

1. Locate and delete or rename the configuration files associated with your profile, starting with the SRS and outcmd.dat files.
--Outlook will recreate new ones the next time it runs (similar to removing the ACT! preferences folder)
2. Look in C:\Documents and Settings\username\Application Data\Microsoft\Outlook for the following files associated with your profile:
--*.NK2 (nickname or autocomplete cache),
--*.nick in older versions *.SRS (send and receive settings)
--*.XML (Navigation Pane in OL2003)
--Outcmd.dat (toolbar customizations, shared by all Outlook profiles)
--Outlprnt (print configurations)
--VBA files
3. Rename the *.pst or *.ost in C:\Documents and Settings\username\Local Settings\Application Data\Microsoft\Outlook and allow Outlook to create a new one. If Outlook works, run scanpst.exe on the old pst file or export the data to the new pst to rebuild the information
