MicrosoftOutlook uses “Address Books” to integrate with other applications. The setupsteps for your Outlook Address Book are available from within ACT!. ACT!e-mail integration features are only available in Outlook after you havesuccessfully completed the address book setup. Youcan set up one primary address bookand up to two additional addressbooks. Completethe following steps to enable e-mail integration between ACT! and Outlook. 1 Open ACT! and click on the “Tools”“Preferences” menu. 2 Open the “E-mail” tab and click on “E-mail SystemSetup.”
· 3 Click “Next” to open page 2 of the “E-mailSetup Wizard.”
· 4 Select “Microsoft Outlook” by checking thebox and click “Next.” · 5 Select “Use the Outlook e-mail program” as yourprimary e-mail program. ACT! will use Outlook for composing and sending e-mail messages from ACT! as soon as you havecompleted the setup and restarted Outlook if it was open at the time.
6 As soon as you click “Use the Outlook e-mailprogram” option, a message prompts to help you configure an ACT! database foruse with Outlook. 7 Select “Yes” to configure your ACT dababase foruse with Outlook. 8 Click “Add” to set your primary address book orto add additional address books. The first address book in the list show isyour primary address book. You can also add two additional ACT! address booksif you use multiple database and want to use them in Outlook. 9.Select the ACT! database and fill out the username and password. ACT! validates your logon information when you click OK. 10 Close the “Address Book” window.
11· That’s all. The selected ACT! databases arenow ready for use in Outlook. Please restart Outlook if you had it open whenyou completed these steps.
E-mail FeaturesAvailable in ACT! and Outlook · Messages you have received in Outlook: o You can attach received messages to ACT!contact from your Outlook Inbox.
o You can create an ACT! contact from amessage you received.
· When sending messages from Outlook: o Select ACT! contact’s from up to 3 ACT!databases.
o Automatically record all sent messages inACT! § Select tonot record individual messages by overwriting the default setting and/or selectto change the default for recording messages in ACT! as private or public.
· Use Outlook for sending single e-mailmessage to ACT! contacts by clicking on an ACT! contact’s e-mail address or byusing the “Write” – “E-mail message” menu.
· Use Outlook for mail mergesusing type “e-mail.”
